St. John's Office of Residence Life is here to ensure you have a smooth and successful end to the academic year!
Please review this guide to ensure that you can check out properly, avoid room damage charges, and recoup your damage deposit.
Housing Information
Every resident must check out of their housing assignment 24 hours after their last final, but no later than the final date for their class standing. Please review the calendar for full details.
Only students with authorized extensions are permitted to remain the halls beyond these closing dates.

Note: Students can request a housing extension if they need to remain in their room after the date of their hall closure by submitting a Housing Extension Request Form.
Additional housing charges will be applied to your student account. The form must be submitted by 4:30 p.m. on Monday, April 28.
Graduating Students
Students recorded in our system as graduating or approved to participate in the graduation ceremony are eligible for a complimentary extension. You must complete the Housing Extension Request Form and select “Graduating” under “Nature of Request.”
May Check-Out Process
- You must check out of the residence halls 24 hours after your last final exam but no later than the last posted date for your student group..
- On Monday, May 5, a link will be emailed to you to schedule your check-out appointment electronically.
- Appointments begin on May 7.
- Appointments must be scheduled between 9 a.m. to 11 p.m., and at least 24 hours in advance of your expected departure date/time.
- If you need to check out on the last date for your student group, your appointment time must be scheduled between 9 and 11:45 a.m.
- Remember to be on time for your appointment.
- Return your keys to your Resident Assistant and sign any required paperwork.
- If there is any damage in your housing assignment for which you are taking responsibility, you must note it in a letter via email to your Building Administrator. If no one takes responsibility for damages, every resident in the suite/room will be charged.
- Once you have checked out, all your belongings must be removed. You will not be permitted to enter your housing assignment after you have checked out and returned your keys.
- Clean your apartment, suite, room, and bathroom(s).
- The furniture in the apartment, suite, and room must be returned to its original position.
- All personal furniture including carpets and rugs must be removed.
- Remove all garbage from your apartment, suite, and room.
- Place garbage in the trash receptacles in the garbage room on your floor. Do not leave garbage in the hallway. Garbage bags will be available in the RA office for your area from 7 p.m. to midnight beginning on Friday, April 25.
- Pack and remove all your belongings BEFORE your check-out appointment or have them packed and placed in the suite area.
- Property that remains in the apartment/suite/bedrooms after check out will be discarded.
NOTE: Vehicles are not permitted on the sidewalks or lawns in the Residential Village.
- Express check-out allows you to check out of your housing assignment without scheduling an appointment with your RA.
- If you use Express Check-out, you must still comply with the check-out procedures.
- Express Check-Out Envelopes will be available in your Residence Hall and in the Office of Residence Life beginning on Friday, April 25.
- Express Check-Out envelopes for Townhouse residents will be available in O’Connor Hall.
- Express Check-Out envelopes for DePaul Houses and Goethals apartments are available in the Seton Complex lobby (152-11 Union Turnpike). This is the same location for your express key drop box.
- Obtain an express check-out envelope, which will be available at the front desk of your building and in the Office of Residence Life (beginning on Friday, April 25).
- Read and complete the form.
- Place your suite/room and mail key in the envelope and seal it.
- Remove the top blue copy of the form and keep it for your records.
- Place the completed envelope containing your keys in the Express Check-Out drop box that will be located at the front desk of your residence hall.
- Your apartment/suite/room will be inspected and assessed for damage and cleaning charges by a Residence Life staff member.
- Charges for damages and/or cleaning will be billed to your University account and deducted from the $250 damage deposit. ($125 per semester).
- If damage and cleaning charges exceed $250, your account will be billed for the additional amount.
- Please note: By choosing Express Check-Out, you waive your right to appeal any damage/cleaning charges that are assessed and billed to your University account.
- Additionally, failure to follow Express Check-Out procedures will result in an automatic $75 fine.
- After the residence halls close, the Building Administrator of your respective residence hall will inspect all apartments/suites, rooms, and bathrooms.
- Charges will be assessed for cleaning apartments/suites, rooms, and bathrooms.
- Resident Assistants do not determine damage charges for students.
- Bedroom damages will be assessed to occupants of the bedroom.
- Apartment/Suite damages will be assessed to all occupants of the apartment/suite.
- Floor damages (including hallway and lounge areas) will be assessed to the occupants of that floor.
- Building damages will be assessed to the occupants of the building.
- Lock changes will be assessed individually.
- The Office of Residence Life will send an itemized damage statement and information on the appeal process to your home address in June.
- The total charges for damages and/or cleaning will be billed to your University account and deducted from the $250 damage deposit. ($125 per semester).
- If damage and cleaning charges exceed $250, your account will be billed the additional amount.
- Failure to comply with the check-out procedures stated above will result in a $75 improper check-out charge.
As of 7 p.m. on Monday, May 5:
- Overnight guest registration will be suspended.
- St. John’s resident and commuter daytime guests are permitted to visit as outlined in the school year visitation policy.
- All St. John’s visitors (i.e., resident and commuter students) must sign out by 3 a.m. daily. This includes visitors who are residents of other buildings.
- The last day to host an overnight guest prior to finals is Monday, May 5, for one night.

Donation bins will be placed in the lobbies of all residence halls in the final days leading to the end of the semester. Please consider donating your unwanted clothing, personal supplies, non-perishable food items, and partially used cleaning supplies to support our community partners.
Clothing is donated to the St. Vincent DePaul Shop of Long Island.
Gently used personal items are donated to DAX USA to support housing insecure St. John's students.

Please be sure to take a moment today and update your mailing address so that importance correspondence reaches you at your new address. All students are encouraged to contact the United States Postal Service and file a Standard Forward Mail/Change of Address Form.
Be sure to update your delivery address in your Amazon and other e-commerce accounts to ensure that your packages are not returned to sender.
Please contact the University Mailroom to arrange for postage payments to have any misdelivered mail sent to the correct address.
